Answering price and GST questions with an AI agent, without wrong numbers

· 1 min read · Vinayak Kaushal

Quotes are where AI replies go wrong. Upload one price sheet, write three rules, and make the agent quote from your numbers or say it will check.

The short answer

"What is the price for 20 units, with GST?" is the message an AI agent most wants to answer and most often gets wrong. A model fills gaps with plausible numbers. The fix is to remove the gap.

Upload one price sheet

In Apavin, add your current price list as a knowledge document. Keep it to one file with dates in the title, so the agent never has to choose between two versions. get_reply_guidelines lists the documents, and get_business_knowledge returns the matching passage when the agent needs a number.

Write three rules

In your reply guidelines, write rules the agent reads before every draft. For example:

  • Quote only prices that appear in the price sheet. If a quantity or product is not listed, say you will confirm and create a follow-up task.
  • Show GST as a separate line at 18 percent unless the sheet says otherwise.
  • Never offer a discount. Pass discount requests to a person.

Let the approval catch the rest

Every quote still waits in the approval queue with its full text. The person approving reads one number against one sheet, which takes seconds.

What happens when the agent is unsure?

With the rules above, it says so in the draft and calls create_follow_up_task, so the question lands on someone's list instead of being guessed.
